IN-PERSON CONFERENCE:

POSTER SESSIONS:  Students will be assigned to a one-hour session on the afternoon/early evening of Friday, April 29th.    Daily Symptom Surveys (DSS) will be required before entering the University Credit Union Center (“U Center” - previously known as the ARC Pavilion).  After showing an approved DSS, presenters will be able to check in at the registration table. Presenters are expected to stand at their posters (poster boards and pins provided) on the floor of the U Center during the entire one-hour poster session.  Presenters will share their research with attendees who come by their poster.  This is usually a 5-8 minute interaction with each attendee or group of attendees.  A faculty moderator is assigned to each presenter or presenter team to hear the presentation and ask questions and provide each presenter their Conference Presenter Certificate.

The URC will print presenters' posters for free if turned in by the deadline,  April 8, 2022 by 11:59 p.m.  Presenters will receive poster size and upload requirements by email and at the Conference Mandatory Prep Sessions.

ART and DESIGN EXHIBIT:  The Arts and Design Exhibit runs concurrently with the poster sessions on Friday, April 29th in the U Center. The Art and Design Exhibits are placed around the edge of the U Center floor (the bleachers are pushed back to allow for room).  Art and Design Exhibit presenters are asked to be available during most or all of the Conference time.  Art and Design Exhibitors will be contacted to coordinate display needs.

ORAL SESSIONS:  You will be assigned to one of two 90-minute sessions in a room in Wellman Hall on the afternoon of Saturday, April 30th.  You will have a 15-minute time slot in that session and will present for 10-12 minutes.  There will be a faculty moderator in each room to introduce each presenter, moderate questions and provide the presenter with their conference presenter certificate.  Moderators will also have time warning signs to ensure presenters leave time for questions.

VIRTUAL CONFERENCE – what if we have to pivot to an on-line platform?

We have experience making that pivot and have hosted two successful virtual conferences.

The  conference dates may be pushed back if needed to allow time for presenters and faculty to prepare for their presentations and for the conference committee and staff to pivot to the virtual platform.  The platform will be GoReact with which our campus community is already familiar   Presenters will be given an invitation to access the platform with their UC Davis emails.  You will do a recording with your poster, PowerPoint, performance, art, or design work.  The most common way presenters have done this in the past was by doing a Zoom recording.  Presenters will upload their recorded videos.  There is an asynchronous comment feature used for attendees and faculty moderators to provide comments and questions, and for presenters to respond.

Frequent communications, FAQ’s and instructions will be given to presenters, and Info and Q&A sessions will be made available to support this pivot to an online platform.
